Office Manager for Pediatric Surgery

JOB DESCRIPTION

General Purpose
Responsible for managerial, administrative, and operational functions of the Pediatric Surgery office; supervision of administrative assistant and coordinator positions; budgetary and financial accountability; responsibility for office needs including clinical and academic activities; provide assistance with program enhancement and new program development. Strong collaboration with the divisions of ambulatory and perioperative services, and the school of medicine academic department.

Reporting Structure
Reports to Director of Surgery Administration. Accountable to Division Director of Pediatric Surgery, Pediatric Surgery Faculty, and Children's Leadership Team.

Pediatric Surgery Overview
The Division of Pediatric Surgery is one of the largest providers of pediatric general surgery in the North Texas Region. The Division has 9 faculty surgeons who care for over 5,000 outpatients annually, and perform over 4,000 surgeries each year. The Division is responsible for carrying out the clinical, teaching, and research missions of the University of Texas Southwestern Department of Surgery, Division of Pediatric Surgery. The Pediatric Surgery team works in partnership with the faculty and other clinical and nonclinical teams to ensure the best care experience possible for patients and families.

Main Job Tasks and Responsibilities
  • assign and monitor administrative responsibilities and tasks among office staff
  • allocation of resources to ensure appropriate workload distribution
  • coordinate office scheduling activities to ensure optimal productivity
  • manage projects related to office programs and processes
  • implement procedural and policy changes to improve operational efficiency
  • prepare operational reports and schedules to ensure efficiency
  • prepare, analyze, and monitor financial budgets
  • monitor and maintain office supplies inventory
  • review and approve office supply acquisitions
  • maintain a safe and secure working environment
  • handle customer inquiries and complaints
  • manage internal staff relations
  • evaluate and manage staff performance
  • recruit and train office staff
  • organize orientation and training of new staff members
  • ensure office policies and procedures are being adhered to
  • coach and discipline office staff
  • manage administrative academic/faculty affairs
  • maintain faculty human resources and educational records
  • coordinate and maintain faculty credentialing
  • maintain faculty databases
  • coordinate faculty teaching activities and programs
  • ensure security and confidentiality of office data
  • ensure filing systems are maintained and current

Education and Experience
  • bachelor's degree in healthcare, business, or related field, or equivalent work experience
  • minimum three years of management experience in healthcare department/program setting preferred
  • exposure to day-to-day operational and administrative functions
  • proven ability to perform in a high pace setting 
  • advanced computer skills including use of MS Office software products
  • skilled in customer service interactions
  • knowledge of task prioritization/project planning and management
  • knowledge of business and management principles
  • knowledge of financial management
  • knowledge of human resources management practices and procedures
  • knowledge of medical billing and coding practices and procedures preferred
